Pricing

Pick the shape that matches how you work.

Calendia is sold two ways. Salons and clinics with a stable team usually pay per bookable employee. Businesses with lots of part-time or seasonal staff usually pay per booking instead. Everything else in the platform is the same either way.

Two billing models

Same product, same features, same support. Only the meter is different — and you can change your mind later.

Predictable

Per bookable employee

Loading…

A flat monthly price for each employee who takes bookings. Book as much as you like — the bill does not move.

Best for a settled team with a full calendar.

  • The same amount every month, whatever the season does
  • Staff who never take bookings are free
  • Deactivate an employee and the seat stops billing
Flexible

Per booking

Loading…

A small fee per completed booking. Quiet months cost less, busy months cost more, and headcount does not matter.

Best for large or seasonal teams, and for businesses just starting out.

  • Add as many employees as you want at no extra cost
  • A slow January costs less than a busy June
  • Cancellations and no-shows are not charged as bookings

Add-ons

Most of Calendia is included. These are the parts that cost us money per use, so they are priced separately.

Answers the phone, books, moves, and cancels appointments.

Video rooms created straight from the booking.

Beyond the one included with every account.

Included in every plan

Not a starter tier. These are in the box whichever billing model you pick, and they do not get taken away as you grow.

  • Online booking and your own booking page

A branded booking page, one custom domain, deposits, waiting lists, and rules per service and per employee.

  • Point of sale and cash register

Sell services, products, and gift cards. Cash drawer, receipts, daily settlement, and a product-declared cash register where the law requires one.

  • Health journals and forms

SOAP notes, body annotations, vitals, disclaimers, consent, and doctor approvals — with access scoped to the care team.

  • Marketing and loyalty

Campaigns, win-back flows, rebooking reminders, referral and influencer links, stamp cards, and gift cards.

  • Roster, payroll, and tips

Shifts, absence, per-employee compensation rules, payroll runs, and tip pooling with payouts.

  • Finance sync

Push revenue to Tripletex, Fiken, Fortnox, Visma, e-conomic, QuickBooks, Holded, Sage and others — no manual re-typing.

  • Member portal and chat

Customer logins, sellable memberships, and real-time chat between customer and provider.

  • Invoicing

Your own numbered invoices and credit notes, a hosted pay page, and manual bank-transfer registration.

Paid add-ons

These cost us a fee every time they run, so they are metered rather than bundled. Turn them on only if you need them.

  • BankID and national eID

A monthly fee with an included allowance of verifications, then a small charge per completed verification. Only completed verifications are billed — an abandoned redirect costs nothing.

  • AI voice receptionist

A monthly licence plus call minutes. It answers your number, books, reschedules, and cancels, and hands over to a human when it should.

  • Video consultations

A monthly allowance of minutes is included; beyond that, minutes are metered. Rooms are created from the booking itself.

  • Extra custom domains

One is included. Additional domains — for a second location or a second brand — are a small monthly fee each.

  • SMS credits

Reminders and campaigns by SMS draw on credits you top up in packages. Email is unlimited and free.

What card payments cost

You can bring your own payment provider, or take card payments through Calendia Pay. Both work with the same terminals, the same receipts, and the same books.

Bring your own provider

Keep your existing agreement with Stripe, Vipps MobilePay, SumUp, Worldline, Nexi, Viva, Swish, or PayPal. You pay their rates, plus a small platform fee on payments taken through a connected third-party provider.

Calendia Pay

One rate, quoted up front, with the terminal, the receipt, the journal, and the payout all inside Calendia. No platform fee on top — the rate you are quoted is the rate you pay.

Card rates depend on card type and region. Amex and non-European cards are priced separately, as they are everywhere.
