Switching
Bring your customers with you. We do the moving.
Nobody stays on a system they dislike because they like it. They stay because moving looks like it will cost them a week and a few hundred customer records. It does not have to. We import your data for free and we run the switch alongside you.
How the switch goes
- 1
Tell us what you are on
Start the trial and tell us your current system. Most of them can export, and we know the shapes the common ones produce.
- 2
Send us the export
Customers, services, prices, staff, and future bookings. A spreadsheet is fine. If your system will not export, we will look at what else can be done.
- 3
We map and you check
We match the columns to Calendia and show you the result before anything is written. Duplicates, bad phone numbers, and broken dates are flagged, not silently imported.
- 4
Set up the way you work
Services, durations, rules, forms, staff, opening hours, and your booking page. This is the part where we ask a lot of questions.
- 5
Run both for a week
Keep the old system open while the new one takes real bookings. Nobody switches a live business on a Monday morning and hopes.
- 6
Turn the old one off
Point your booking link at Calendia, cancel the old subscription, and keep its export somewhere safe.
What comes across
The things a service business actually cannot afford to lose.
- Customers, with contact details, notes, and marketing consent status
- Future bookings, with the right employee, service, and time
- Services and prices, including durations and per-employee variations
- Staff, roles, and who is allowed to perform which service
- Gift cards and outstanding balances, so nobody is turned away
- Historic appointments, where your old system will export them
Coming from a specific system?
We have moved businesses off most of the booking systems used across the Nordics and Europe — the big international platforms, the local Norwegian and Swedish ones, and a fair number of spreadsheets and paper diaries.
Tell us which one you are on and we will tell you honestly what will and will not come across before you commit to anything.
The things people worry about
Not the parts that matter. Customers, contact details, notes, and consent status come across. How much appointment history comes with them depends on what your old system will export — we will tell you before we start, not after.
No. Their future bookings are already in the new system, and the confirmation and reminder they get next will simply come from you, on your domain.
You can point your existing domain at Calendia so the link keeps working, and update the profile links at your own pace.
The import itself is usually a day or two. The honest bottleneck is deciding how you want services, durations, and rules set up — which is worth spending the time on.
Nothing. The import and the setup help are free, and the trial runs while you do it.
You export your data and go. There is no lock-in period and no exit fee, and we would rather you left cleanly than stayed unhappily.
